PDF Print Optimization Guide: Margins, Bleed, Trim Marks, and Color Settings
A PDF that looks perfect on screen can produce disastrous printed results — colors that don't match, text cut off at the edges, images that appear pixelated, and fonts that default to generic substitutes. Professional printing requires a 'print-ready' PDF with specific technical settings that differ significantly from screen-optimized PDFs. Understanding these settings is the difference between a professional printed piece and an expensive reprint.
Bleed is the most commonly misunderstood print specification. When a design has color or images extending to the edge of the page, the printer needs extra image area beyond the trim line — typically 3mm (0.125 inches) on each side. This bleed area gets trimmed off after printing, ensuring no white slivers appear at the edges if the cutting is slightly off. A business card designed at 90x54mm needs a document size of 96x60mm (3mm bleed on all sides). Without bleed, edge-to-edge designs will show thin white borders on some edges.
Color space is the second critical setting. Screens use RGB (additive color — red, green, blue light combining to create white). Print uses CMYK (subtractive color — cyan, magenta, yellow, black ink combining to create dark colors). Converting from RGB to CMYK shifts colors, sometimes dramatically — bright neon greens and deep blues are particularly problematic. Always design in CMYK if you know the piece will be printed. Image resolution for print must be 300 DPI at the final printed size. A 300 DPI image that gets enlarged to 200% in the layout becomes 150 DPI — below the print quality threshold and visibly pixelated. Check all placed images at 100% zoom before finalizing. Fonts must be embedded (or converted to outlines) so the printer can render text correctly without having your fonts installed. Missing fonts cause the printer to substitute, altering your layout and typography.
Trim and crop marks tell the printer where to cut. These thin lines appear at the corners of the document, indicating the finished page size.
